Privacy Notice for Contractors
West Midland Reserve Forces and Cadets Association (WM RFCA) is committed to protecting the privacy and security of your personal information.
This privacy notice describes how we collect and use personal information about you during and after your working relationship with us, in accordance with the General Data Protection Regulation (GDPR).
What information do we collect from you?
We will collect the following Personal Data from you

- CIS details where applicable
Why do we collect this information?
This information is collected from you so that we may contact you with information about projects and ongoing maintenance requirements and liaise with you throughout each process. It also enables us to fulfil our financial obligations for work which you have undertaken.
We collect your Personal Data according to the contractual needs of maintaining the estate and MIS of WM RFCA.
Who might we share the data with?
There are occasions where we need to disclose information to a third party, for example to take up a reference or obtain a disclosure from the DBS or NSVS, we will not do so without informing the individual beforehand unless the disclosure is required by law. Your information will also be shared with HMRC.
What do we do with your personal data?
We will use your Personal Data to contact you by email, phone, fax or letter and to ensure that you are paid appropriately for work which you have undertaken.
Can you opt out?
You can opt out at any time if you do not wish for your details to be retained by West Midland RFCA. Please contact us at wm-info@rfca.mod.uk
How long do we keep hold of your information?
For the length of time that you wish to make your company available to WM RFCA for contractual work. After such time we will keep your details for a further 6 years to comply with our retention policy for financial records.
Is your personal data used for any automated decision making?
We do not process your Personal Data for the purposes of automated decision making.
What are your rights?
You can contact us and
- Ask for a copy of the Personal Data that we hold or process
- Request that we correct Personal Data for you that we hold or process
- Object to our processing your Personal Data
- Inform us that you want the Personal Data we hold on you erased.

Will your information be transferred overseas?
Your Personal Data will not be transferred overseas.
